Photographer scheduling used to mean stitching together a few different tools: one to track availability, another to notify staff, a group text for confirmations, and a phone call to check who showed up. This month we brought all of it into one place. Availability, assignment, notifications, and check-in/check-out now live on a single screen in ScheduLink.
Here's how it works. 👇
1. Photographers mark their days off
Photographers mark the days they're not available right from their own dashboard. You can do the same for any employee. Hiring a contractor for peak season? Set a date range and exclude specific days of the week within it, so you're not scheduling them for a day they've already ruled out.

2. See the whole team's calendar
Open the Scheduling page and see every photographer's availability in one calendar, color-coded red for unavailable and green for available. No asking around, it's all there.

3. Build the schedule, conflict-free
Assign photographers to events as usual. If someone gets assigned on a day they marked unavailable, or double-booked into two events at once, ScheduLink flags it immediately. Take your time here, nothing goes out to staff yet, so you can check everyone's workload is evenly distributed before you move on.

4. Notify everyone at once
When the week's ready, publish it, one event at a time or the whole week in one click. Every assigned photographer gets one email and one text with everything they're on that week, links included.

5. Staff confirm, you see it instantly
Photographers accept or decline from their dashboard, and can change their answer if they made a mistake. You see the status of every event, no response yet, accepted, or declined, on the Scheduling page without texting anyone.

6. Staff check in, you see who's on site
On shoot day, photographers check in and out right from their dashboard, more than once if the shoot has multiple sessions. You see it happen live on the event card, no calling around to confirm who made it.

See your events on a map Events now has a Map view alongside List and Calendar. Your filtered events show up as pins, and clicking one gives you the event details, with a link through to the full event. All your usual filters carry over, so you can narrow it down to a single day or a specific event type, and see exactly where those shoots land. Useful when you're routing photographers across a region and want to see how the week actually clusters geographically.
Create a week of sub-events in one go Shooting the same school for three straight days? Click Add in the Sub-events section, pick Multiple, set your start and end dates, choose a template, and ScheduLink creates one sub-event per day. They inherit the parent event's status automatically. What used to be three rounds of duplicating is now one modal.
Salutations for contacts Added an optional salutation field (Mr, Mrs, Dr, and so on) on contacts. It shows in the contact's display name and pulls into email templates, so your school correspondence reads the way a principal expects it to.
Phone numbers, emails, and addresses are now clickable In slide-in panels across Accounts, Events, Contacts, and Employees, phone numbers dial, emails open a compose window, and addresses open directly in Google Maps. No more retyping a number into your phone to make a call.
Your view stays where you left it Switch Events to Calendar or Map, go check a task, come back, and you're still in the view you picked. ScheduLink remembers your last selection instead of dropping you back into List every time.

Custom fields sections in templates are now tables with a fixed height, so they line up with the other sections instead of stretching the page when a template has a lot of fields.
